GUIDELINES
The following guidelines are provided for speakers to be reimbursed for their expenses as agreed in the NBCUG meeting on 8/8/98. NBCUG SPEAKER EXPENSE REIMBURSEMENT 1. NBCUG collects no dues. The $2.00 charge to attend a meeting is required to cover rental of the Knights of Columbus ( K of C) Hall. . 2. NBCUG's volunteer Treasurer is Jerry Tetreault. All money received by Jerry comes from donations or from the sale of items donated to the club. The money is intended for miscellaneous expenses in running the club such as office supplies, reproductions and expenses incurred by speakers and for purchase of equipment for the club. 3. Except in unusual circumstances, speakers will not be eligible for reimbursement if their presentations represent their own business interests or those of their employer. The volunteer Treasurer shall be the judge of exceptions. 4. Speakers are limited to a maximum reimbursement of $25 for their receipted expenses provided the expenses are within the guidelines listed below. If receipts are not available, a satisfactory explanation will be accepted. 5. If several speakers share a meeting, they must also share the $25 maximum. 6. Legitimate speaker expenses that may be reimbursed are as follows: a. Transparencies (viewgraphs) for use with the K of C's projector. b. Slides for use in a slide projector. (The K of C does not have a slide projector.) c. Reproduction of paper handouts, provided an explanation can be made as to why the handouts could not be e-mailed to all NBCUG members before the meeting. If the speaker does not have e-mail nor know how to send mail to the group other members may be contacted to do this. d. Rental or purchase of special equipment/items for under $25, provided advance approval is given by the Treasurer. 7. Receipts should be given to the Treasurer for reimbursement whenever they are available. 8. Expenses not reimbursable include travel and lodging. If an item is questionable, it should be discussed with the Treasurer before the expense is incurred. 9. A speaker or speakers that provide the main program for NBCUG shall not be charged admission to the meeting regardless of whether he/she is a member of NBCUG. |
